Their sales motion depends on speed: once a lead engages, every hour of delay increases the odds of losing them to a competitor who responds faster. The company was running HubSpot Marketing Hub, Sales Hub Professional, Service Hub Professional, and Revenue Hub Professional, but the platform's automation capabilities were largely untapped for the one thing that mattered most to their revenue: consistent, timely follow-up.
Amwhiz was engaged to design and build a complete SLA and follow-up automation system across the full lead-to-transaction lifecycle, paired with reporting that would let leadership see response-time performance instead of guessing at it.
Before this engagement, follow-up at every stage of the pipeline depended entirely on individual reps remembering to act. There was no system enforcing response times, no record of how long a lead had been waiting, and no way to tell, without asking a rep directly, whether a deal was actually being worked or had gone quiet.
The client did not need a generic HubSpot clean-up. They needed a system that treated response time as a measurable, enforced part of the sales process, built around how their business actually moves leads through the funnel, from first contact to a completed transaction.
Amwhiz built an 8-workflow automation system covering the full lead-to-transaction lifecycle, layered with new custom properties and a reporting suite to make SLA performance visible for the first time. The build was sequenced in four parts:
The first design decision mattered more than it looked: HubSpot Workflows cannot enroll contacts marked as Marketing Contacts for certain email actions, which would have blocked automated follow-up for a large share of the client's leads. Amwhiz used HubSpot Sequences instead for the qualified-lead follow-up stage, and built two cloned versions of the sequence, one per rep, each with that rep's own hardcoded booking link, so a lead enrolled in a sequence always lands on the correct rep's calendar without manual handoff.
To make response-time tracking systematic rather than manual, Amwhiz built custom properties (Interaction Type, Interaction Type Timestamp, Response Recorded Date, and a SLA Breached boolean) and a SLA Router workflow with six branches, one per interaction type. Each branch starts a clock the moment an interaction is logged, checks whether a response was recorded within the target window, and flips the SLA Breached flag if it was not. This turned an informal expectation into something the CRM actively enforces and records.
For deals sitting in Proposal, Documentation, Activation, and First Transaction, Amwhiz built pending cadences using an anchor-date-plus-recurring-follow-up pattern: the workflow anchors to the date a deal enters a stage, then re-triggers a follow-up task on a fixed recurring schedule until the deal moves or the rep marks it handled. A parallel set of per-stage Last Follow-up Date properties made it possible to show, for any deal, exactly when it was last actioned, not just what stage it is in.
None of this automation would have mattered to leadership without visibility, so Amwhiz built a full reporting system covering pipeline health, funnel conversion, FX spread variance, SLA tracking, and rep productivity. The SLA and follow-up dashboards specifically surface transaction volume, SLA breaches, and open follow-ups in one place, so managers can see where the pipeline is slowing down without pulling a rep off calls to ask.

Amwhiz's approach combined the right automation tool for each constraint (Sequences where Workflows would have failed silently, anchor-date cadences where a single reminder was not enough) with reporting that made the result visible to the people who needed to see it. The result is a lead-to-transaction process where follow-up happens on schedule by design, not by chance.
