Using n8n with Shopify lets store teams automate the order, stock and customer tasks that usually eat 5–15 hours a week: order alerts, inventory sync, review requests, WhatsApp COD confirmation and pushing orders to an ERP. Each workflow starts from a Shopify event or a schedule and connects Shopify to the tools your team already uses, without paying per task.
Shopify Flow handles many automations inside Shopify. n8n is the better fit when a workflow has to reach outside the store, into WhatsApp, a warehouse, accounting software or a CRM, with custom logic in between. Below are the 8 workflows we recommend first, how they work and what to watch for.
Key takeaways
- Start with orders: high-value and risky order alerts plus WhatsApp COD confirmation give the fastest payback.
- Stock is the biggest time saver: syncing inventory with a warehouse, 3PL or ERP removes daily spreadsheet updates.
- n8n connects beyond Shopify: use Shopify Flow for in-store rules, and n8n when WhatsApp, ERPs or CRMs are involved.
- Plan for missed events: Shopify webhooks are not guaranteed, so pair real-time triggers with a scheduled reconciliation job.
How does n8n work with Shopify?
n8n connects to Shopify in two ways. A Shopify Trigger node starts a workflow when something happens in the store, such as a new order, and the Shopify node creates, reads and updates orders and products.
For anything the node does not cover, such as fulfilments, metafields or inventory levels, the HTTP Request node calls the Shopify Admin API with the same credentials. Our Shopify API integration guide explains which endpoints matter most.
One design rule applies to every workflow below. Shopify’s own webhooks documentation states that webhook delivery is not always guaranteed, so production workflows should include a scheduled job that checks for recently updated records and fills any gaps.
Which 8 n8n Shopify workflows save the most time?
These are the workflows we see pay back fastest for Shopify stores in India, the GCC, the UK and the US.
| Workflow | Trigger | Connects to | Typical saving |
|---|---|---|---|
| 1. Order alerts | New order | Slack, email, WhatsApp | Faster fraud and VIP checks |
| 2. WhatsApp COD confirmation | New COD order | WhatsApp Business API | Fewer failed deliveries |
| 3. Inventory sync | Schedule or stock change | Warehouse, 3PL, ERP | No manual stock updates |
| 4. Low-stock alerts | Inventory change | Slack, email, purchasing | Fewer stockouts |
| 5. Review requests | Order delivered | Email, WhatsApp, review app | More reviews |
| 6. ERP and accounting push | Order paid | ERP, Zoho Books, Xero | No double entry |
| 7. Order to CRM | Order paid | HubSpot, Zoho CRM | Full purchase history |
The eighth workflow, a daily operations report, runs on a schedule and pulls orders, refunds and stock into Slack or a Google Sheet each morning.
How do order alerts and WhatsApp COD confirmation work?
1. High-value and risky order alerts
When a new order arrives, n8n checks the order value, shipping country, Shopify’s risk level and customer history. Orders that match your rules are posted to Slack or sent to a manager on WhatsApp, with a link to the order in Shopify admin.
2. WhatsApp COD confirmation
Cash on delivery is common in India and the GCC, and unconfirmed COD orders cause costly return-to-origin shipments. This workflow sends a WhatsApp template asking the customer to confirm or cancel, then acts on the answer.
- New order with a COD payment method triggers the workflow.
- n8n sends a WhatsApp utility template with Confirm and Cancel buttons.
- The workflow waits for the reply, up to a set time limit.
- Confirmed orders are tagged and released for fulfilment.
- Cancelled or unanswered orders are tagged for a call or cancelled in Shopify.
Under Meta’s WhatsApp pricing, templates are charged per message, and utility templates sent inside an open customer service window are free. Your WhatsApp Business API setup and template approval should be done before you build this flow. See how we did it in our GCC WhatsApp commerce automation case study.
How do you sync Shopify inventory with n8n?
3. Inventory sync with a warehouse, 3PL or ERP
n8n reads stock levels from your warehouse system, 3PL portal or ERP on a schedule or via webhook, maps SKUs to Shopify inventory items and locations, and updates only the levels that changed. Batching and waits keep the workflow inside Shopify’s API rate limits.
4. Low-stock alerts and reorder prompts
When available stock falls below a threshold per SKU, n8n alerts the buyer in Slack or email and can draft a purchase order in your inventory tool. For more complex multi-location setups, our guide to Shopify inventory integration with ERP, warehouse and 3PL covers the architecture choices.
How do review requests, ERP push and CRM sync work?
5. Review requests after delivery
When a fulfilment is marked delivered, n8n waits a set number of days, checks the order was not refunded, and sends a review request by email or WhatsApp. Customers who had a support ticket can be excluded automatically.
6. Order push to ERP or accounting
Paid orders are sent to your ERP, Zoho Books, Xero or Tally-based system with tax lines, discounts and shipping mapped correctly. Refunds follow the same path so finance stays in sync.
7. Order to CRM
Each paid order creates or updates the contact in HubSpot or Zoho CRM, logs a deal or purchase record and updates lifetime value. Marketing can then segment by what customers actually buy.
8. Daily operations report
Every morning, n8n totals yesterday’s orders, revenue, refunds, pending COD confirmations and low-stock SKUs, and posts a short summary to Slack or a shared sheet.
How much does n8n Shopify automation cost?
Costs have three parts: the n8n plan or server, any messaging or app fees, and the build. The ranges below are typical market figures.
| Scope | Typical build cost | Timeline |
|---|---|---|
| One workflow, e.g. order alerts | USD 500–1,500 | 2–5 days |
| COD confirmation on WhatsApp | USD 1,000–3,000 | 1–2 weeks |
| Inventory or ERP sync | USD 2,500–8,000+ | 2–6 weeks |
| Full 8-workflow package | USD 6,000–15,000+ | 4–8 weeks |
When should you use Shopify Flow or a custom app instead of n8n?
Pick the simplest tool that handles the whole process reliably.
- Shopify Flow: tagging, hiding products, internal emails and rules that stay inside Shopify
- n8n: multi-system workflows with WhatsApp, ERPs, CRMs, custom logic or AI steps
- Custom Shopify app: checkout logic, admin UI extensions, very high volumes or strict SLAs
When a workflow grows into core infrastructure, Shopify custom app and integration services give you a dedicated, monitored build instead of a long chain of nodes.

Does n8n integrate with Shopify?
Yes. n8n has a Shopify node for orders and products and a Shopify Trigger that starts workflows from store events. Anything else can be reached through the Shopify Admin API with the HTTP Request node.
Is n8n better than Shopify Flow?
They solve different problems. Shopify Flow is best for rules inside Shopify, while n8n is better for workflows that connect Shopify to WhatsApp, ERPs, CRMs and other external systems.
Can n8n send WhatsApp messages for Shopify orders?
Yes. n8n’s WhatsApp Business Cloud node can send approved templates and wait for a customer’s reply. You need a WhatsApp Business API account and approved templates first.
Can n8n sync Shopify inventory with my ERP?
Yes. n8n can read stock from an ERP, warehouse or 3PL and update Shopify inventory levels by SKU and location. Very large catalogues may need batching or a dedicated integration.
Do I need to self-host n8n for Shopify automation?
No. n8n Cloud works well for most stores. Self-hosting makes sense when you run high order volumes, need data in a specific region or want to avoid execution-based plan limits.
