How HubSpot Quote Customization Streamlined Client Proposals

HubSpot’s standard Quote tool is helpful but often limited when meeting the unique needs of clients. Many of our clients expressed that the default quotes lacked flexibility, personalization, and professional presentation.

 

To address this,  we customized the HubSpot Quote functionality to create a smoother and more client-focused proposal process.

 

Challenges with Standard HubSpot Quotes

 

  • Customize UI (banner Image) on the first page
  • Products not organized by category
  • Limited ability to highlight key product descriptions
  • No page numbering in printable versions (important for long quotes)
  • No interlinking for specific product fields
  • Missing serial numbers for products

Our Customization Approach

 

To address the limitations of HubSpot’s standard Quotes, we redesigned the quoting process and introduced features that made proposals more professional, user-friendly, and tailored to client needs.

  • UI Customization: We enabled the addition of branding elements, such as the client’s company information, right on the first page of the quote. This creates a strong first impression and ensures the proposal reflects the client’s identity.

  • Product Categorization: Products were organized based on categories, allowing stakeholders to quickly find and compare items within specific groups. This makes the quote more structured and easier to understand, especially for clients with large product catalogs.
  • Description Highlighting: Important product details could be emphasized using formatting and highlighting options. This helps decision-makers quickly identify key specifications, benefits, or differentiators without having to read through long text.
  • Printable Quotes with Page Numbers: For lengthy proposals, we added a footer that shows the current page number and total page count (e.g., “Page 2 of 10”). This small but valuable feature makes printed versions look more professional and helps clients keep track of pages during discussions.
  • Interlinking Fields: Each line item's product specification in the quote was interlinked to its corresponding product detail page. This made it easy for clients to access additional information without having to search separately.

  • Serial Numbers: Since HubSpot’s standard quotes did not support item serial numbers, we customized the system to automatically generate them. This addition improved tracking and provided greater clarity in multi-item proposals.
